Executive Assistant to CEO
Full-Time | Remote | 9 AM – 6 PM UK Time
About the Role
We are looking for a world-class Executive Assistant to serve as the right hand to a dynamic Founder/CEO — seamlessly handling business operations, team coordination, and deeply personal responsibilities. This is not your standard EA role. You’ll be an extension of the CEO, anticipating needs, managing priorities, and keeping both professional and personal realms running smoothly.
Key Responsibilities
Business & Executive Support
- Manage complex scheduling across multiple time zones, including meetings, calls, and events.
- Own the CEO’s inbox — draft responses, flag critical items, and ensure follow-through.
- Book detailed travel itineraries (flights, hotels, transport) for business and personal trips.
- Prepare and submit expense reports, reconcile statements, and manage reimbursements.
- Serve as the communication bridge between the CEO and leadership team, handling sensitive internal and external coordination.
- Run daily and weekly check-ins with key team members to track progress on strategic initiatives.
- Compile and distribute daily/weekly metric dashboards or progress reports for leadership.
Personal & Lifestyle Management
- Coordinate children’s school and extracurricular activities, including term schedules, club sign-ups, and logistics.
- Manage family and personal appointments — from healthcare to home services.
- Plan and book family vacations, including visa coordination, itineraries, and special requests.
- Handle documentation and logistics for travel and residency visas.
- Act as the go-to for anything that helps the CEO focus: groceries, gifts, reservations, household management — no task too big or too small.
