Operational Support Assistant

Rekruuto, a premier growth assistant agency, seeks two skilled Operational Support Assistant to join our our client’s Operational Support team. These roles are critical in maintaining smooth daily operations and ensuring efficient management of our systems and processes.

Responsibilities:

• Manage daily inventory tasks:
  • Input Square Inventory each morning
  • Create weekly, monthly, and quarterly inventory counts
  • Follow up on accountability trackers
• Perform system maintenance and checks:
  • Conduct daily system checks to ensure Ring, Ecobee, and Soundtrack are operational by 8 am
  • Follow up with Cafe Managers regarding unreceived POs/TOs by 11 am
  • Escalate issues in the Operational Excellence Space (GChat)
• Handle administrative tasks:
  • Assist with special projects as needed
  • Update memorized transactions seasonally
  • Complete a weekly report template for our weekly meetings
  • Upload Presto reports to our internal wiki
  • Manage holiday hours for Kastle/Brivo
  • Receive FB in NetSuite
  • Track promo codes

Requirements:

• Proficiency in Google Sheets is essential
• Strong aptitude for learning new software systems quickly
• Experience with NetSuite is highly preferred
• Familiarity with or willingness to learn:
  • Square
  • Ring
  • Soundtrack
  • Trello
  • GSuite
  • Rippling
• Excellent attention to detail and ability to follow processes accurately
• Strong communication skills for effective collaboration with team members and managers
• Ability to work independently and manage time effectively in a virtual environment
• Reliability and punctuality, especially for daily morning tasks

The ideal candidates will be quick learners who can adapt to our various systems and platforms. While experience with all the mentioned tools is not mandatory, the ability to efficiently use NetSuite and Google Sheets is crucial for success in this role
