General Virtual Assistant

Rekruuto, a premier growth assistant agency, seeks a skilled General VA to join our client’s team. As a Virtual Assistant, you will manage our client’s email and calendar, create customized and personalized emailers to get in touch with existing/new customers, and create and follow up on Invoices in addition to other required admin tasks.
This role requires a keen attention to detail, excellent communication skills, and the ability to manage multiple tasks effectively in a fast-paced environment. Also required availability on Whatsapp as a communication medium.

This position is for 10 hours/week and requires availability during UK business hours from 10:00 AM to 12:00 PM or per the client's agreement.

Responsibilities
- Diary and Appointment Management:
- Coordinate and manage all aspects of the executive's schedule, including appointments, meetings, and events, to ensure no conflicts across Google Calendar, Zoom, and Calendly.
- Prioritize and organize the executive's time effectively, integrating all scheduling platforms for seamless access.
- Email Outreach and Customer Segmentation:
- Execute strategic email outreach campaigns tailored to various customer tiers, leveraging creative ideas for newsletter content.
- Personalize outreach emails and segment customer lists to ensure effective communication and enhanced engagement.
- Invoice Creation and Management:
- Generate, dispatch, and follow up on invoices based on specific design and customer instructions. Invoices done on Google Docs
- Maintain a meticulous schedule for outstanding invoices and ensure timely payments.
- Fill up customer forms asking for information via software like Google sheets, Excel or Coupa/Ariba etc.
- Calendar Maintenance for Payment Follow-ups:
- Establish and manage a calendar for payment follow-ups, ensuring diligent tracking of invoice payments.
- Software Proficiency:
- Achieve mastery in scheduling, email management, and financial tracking tools to improve efficiency and productivity.
- Communication and Reporting:
- Provide regular updates on task status, challenges, and successes.
- Seek and incorporate feedback to refine processes and improve performance.
Desired Skills and Qualities:
- Exceptional organizational skills and attention to detail.
- Strong communication abilities, both written and verbal.
- Proficiency in Google Calendar, Google Sheets/Docs, Zoom, Calendly, and related software.
- A proactive approach to task management and problem-solving.
- Ability to work independently and as part of a team.
Qualifications:
- Proven experience as a Virtual Assistant, Executive Assistant, or similar role.
- Familiarity with diary management, email outreach strategies, and invoicing processes.
- High proficiency in the use of scheduling and financial management software.
- Excellent time management skills with the ability to meet deadlines.
