General VA (CS & Admin)

Job Description

We are seeking a General Virtual Assistant to join our client’s business. As a General VA, you will be responsible for various administrative tasks and providing support across different areas of the business.

Responsibilities

  • CRM Updating:
    • Transferring client review notes to Salesforce.
    • Adding attachments to Salesforce.
  • Document Generation:
    • Generating client Review Letters using internal templates and systems.
    • Pre-populating letters with relevant information from client review notes.
    • Personalizing specific elements of the letters using the same notes as above.
  • Document Processing:
    • Receiving documents from clients.
    • Creating corresponding letters using templates.
    • Forwarding both documents to product providers.
  • Chasing:
    • Calling and following up with product providers via email and telephone.
    • Obtaining updates on the status of certain business.
  • Miscellaneous:
    • Conducting mail merges.
    • Utilizing Docusign for document signing.
    • Managing Admin Link, an internal ticketing system.

Requirements

  • Proficiency in CRM software.
  • Experience with cold calling and email management.
  • Familiarity with Salesforce is a plus.
  • Strong attention to detail and organizational skills.
