Office and Logistics Manager

 
Rekruuto, a premier growth assistant agency, seeks a highly organized Office and Logistics Manager to join our client’s team. As a VA, you will be providing and assisting with our client’s interior design business.
 
This position is remote, full-time, and requires availability during US EST business hours from 9:30 AM to 5:30 PM or per the client's agreement.
 
Responsibilities:
  1. Setting up new clients: Utilize the Basecamp Project Management system to onboard new clients.
  1. Accounts Receivable Management: Oversee customer setup, billing, and collection of overdue payments.
  1. Accounts Payable Management: Manage vendor setups, reconcile vendor statements against company financial statements, and record payments within the Ivy Interior Design accounting system.
  1. Liaison: Communicate with external parties regarding billing, preparation, and distribution of year-end 1099 and W2s.
  1. Reporting: Submit hourly reports to Principal weekly in regards to team billing, and bill clients monthly for procurement and design hour time.
  1. Financial Management: Work with the organization’s CPA to prepare for tax filings, and address general banking queries.
  1. Data Entry: Proactively enter data into project management software for all orders; this includes digital files, product pricing/imagery, order/payment confirmation, warehouse information, and order tracking info.
  1. Administrative Duties: Perform tasks such as data entry of images of receipts on behalf of the Principal and setting up new vendor and trade accounts.
 

Requirements:

  • Fluent English for client and vendor communication.
  • Minimum of 3 years experience in an accounting or bookkeeping role.
  • Minimum of 3 years experience in an office management role.
  • Highly organized, enjoys troubleshooting problems and issues, and maintains a positive attitude in the face of challenges.
  • Proficiency in Google Workspace and Excel, specifically Sheets and running formulas.
